About The Role

The Hopkins Homes buying team require an individual who is used to a diverse role. The Commercial Assistant will be required to have open lines of communication with commercial team. The commercial team is a fast-paced environment which relies on organised individuals liaising with a number of teams across the business, good communication skills are vital.

Your main responsibilities will include

  • Setup of contracts and plots on COIN system
  • Create monthly spend report and evidence for submission to joint venture partners
  • Maintain CQMS trade contractor pre-qualification portal
  • Complete change of tenancy forms for plot utilities
  • Raise purchase orders on COINS ERP system for agency labour and plot utility invoices
  • Process subcontractor valuations for customer service works including logging and distributing all contra charges
  • Resolve invoice queries, coordinating with Buyers and Accounts Payable
  • Support wider departmental meetings by taking minutes and distributing these to the relevant parties along with any agreed actions
  • Carry out any other reasonable administrative duties as requested by your line manager, including the printing, laminating and posting of documents
  • Collate monthly reports for the department to present in Management/Board Meetings
  • Maintain the departmental filing system with payments information, including the filing of returned Subcontractor Order Contracts and maintaining the archive system and final accounts
  • Assist with logging and distribution of sales variation forms

About You

  • Experience in an administrative role
  • Great communication skills, both verbally and written
  • Highly organised individual able to multi-task with a strong understanding of Microsoft Excel
  • Passionate about keeping our values and vision at the heart of everything we do
  • A collaborative and responsible member of a team, able to take accountability for work
  • Full UK Driving licence
